Democracy Event COMPETITION - Terms and conditions

By entering the “Democracy Event” competition, you are agreeing to the following terms and conditions:


DESCRIPTION

a) The European Parliament is organising a competition for the members of the together.eu community interested in youth topics to offer them the opportunity to attend the Democracy Event, taking place in Brussels on 28 and 29 of October.


WHO CAN PARTICIPATE?

a) The competition is open to all registered members of the together.eu community interested in youth topics who are at least 18 years old and are citizens or residents of a Member State of the European Union, at the time of the award decision. Winning participants will be required to provide a departure address within the European Union (excluding outermost regions and overseas territories) for the trip to Brussels.

b) Participants not fulfilling the above conditions cannot be awarded a prize.


HOW TO PARTICIPATE?

a) The competition starts on 13/7/2022 and closes on 4/09/2022 at midnight (23:59) CEST.

b) In order to enter the competition, together.eu members must click on the button “Register” inside the event’s page of the competition.

c) Participants must use their unique link (available on their personal profile page in the together.eu platform, https://together.europarl.europa.eu/my) to invite new members to sign up to together.eu.

d) Participants that are not registered members of together.eu must first sign up on together.eu homepage, validate their registration (complete the two-step validation by email) and subsequently perform the previous steps.

e) Participants not complying with the above requirements will not be taken into consideration in the selection process.


PRIZES AND CONDITIONS

a) There will be three winners. The prize includes the following items per winner paid for by the European Parliament:

* 3 overnight stays from 27 to 29 October 2022.

* Round trip flight tickets and/or train tickets (depending on the address of the winners) to travel to Brussels from the city of the address provided at the time of the award decision and for returning to the city of the address provided at the time of the award decision. The travel booking is arranged in collaboration with the prize winners.

b) By accepting the prize, winners agree to:

1. Participate and co-operate as required in all editorial activities relating to the publicity of the competition. In particular, they agree to be photographed and filmed by the European Parliament. To this end, winners will be required to sign a model release form for the use of their image rights.

2. Grant the European Parliament a royalty-free, non-exclusive and irrevocable license to use video footage and photographs created by them during the day of the visit in the European Parliament premises in Brussels and to distribute it on any European Parliament social media and community channels. To this end, winners will be required to sign a license.

3. Prizes cannot be transferred to any other person or redeemed for cash. Each travel pass will be nominative and cannot be transferred to another person under any circumstance. The name on the travel pass cannot be changed.


SELECTION OF THE WINNERS

a) In order to be among the 3 winners, participants need to register in this competition and use their unique link (available in “My personal area”) to invite new members to register to together.eu (between 13 July and 4 September). The three participants with the highest number of new members linked to their unique link will win.

b) The selection will be done in September.

c) The winners will be notified via email to the email address linked to their account registered on together.eu. Participants need to confirm their participation within 3 working days of the notification.


NO LIABILITY

a) The European Parliament reserves the right to modify or cancel the competition or any of the arrangements, schedules, plans or other items directly or indirectly related to the competition, without prior notice to participants and at any time and for any reason if deemed necessary.

b) The European Parliament will under no circumstance whatsoever irrespective of the cause, therefore, be liable for any loss, damage or personal injury to the winner nor to property or else caused or suffered in connection with this competition or any prize(s) awarded in connection herewith.

c) Participants bear the sole liability in case of claims relating to their activities carried out in the framework of the competition, for example concerning the infringement of third parties’ rights.

d) Winners agree to indemnify and hold the European Parliament, its personnel and agents, harmless from any third party claims for loss, damage, prejudice, liability or expense suffered as a result of or in any manner in connection with the winner’s acts or omissions.

e) If for unforeseen reasons the prize cannot be offered in the format outlined in these terms and conditions, another prize of similar value will be offered by the organizer. Winner(s) will be given the option to accept or decline the alternative prize.

FORCE MAJEURE

a) In case the travel is cancelled due to unforeseeable exceptional situations or events beyond the winner's control and not attributable to error or negligence on their part, a new travel ticket can be reimbursed, at the sole discretion of the European Parliament. The European Parliament will assess those particular situations on a case-by-case basis.


WITHDRAWAL AND CANCELLATION

a) If a winning participant does not accept the prize, for whatever reasons, before the European Parliament has booked the travel, its place will be re-assigned to the next participant with highest number of new members linked to it “unique link”. Winning participants are invited to confirm their acceptance of the prize before the travel booking.

b) If a winning participant decides to cancel the travel (excluding force majeure reasons) after the European Parliament has booked it, its prize will be withdrawn and re-assigned to the next participant with highest number of new members linked to its “unique link. The travel booking is non-exchangeable and non-refundable.


DATA PROTECTION

a) Data are treated in respect of the privacy policy (https://together.europarl.europa.eu/privacy-policy).

b) For the tickets and the hotel booking, the following data will be kept for 5 years:

1. Passport number

2. Birthdate

3. Country of residence and nationality

4. City of departure and city of arrival


JURISDICTION

The legal relations between the participants and the European Parliament shall be governed by and construed in accordance with the law of the European Union, complemented where necessary by the substantive laws of Belgium. In case any dispute, controversy or claim arising out of or relating to the subject matter hereof that cannot be settled amicably, it shall be submitted to the exclusive jurisdiction of

the General Court of Justice of the European Union insofar as such dispute, controversy or claim relates to or involves the liabilities of the European Parliament.
